EB Motion# 35-19 – To allocate $15,000 of USCA reserves for an updated database system for the organization.

Motion by Jim Alloway, seconded by Michele Clubb, to allocate $15,000 of USCA reserves for an updated database system for the organization.

Background: Currently, we have an outdated, clumsy, cumbersome, and antiquated database. A new database will give the office a much more streamlined and efficient means to conduct business, as well as giving officers, committee chairs, and members access to reports and information that we’ve never been able to extract.One of our former members (Charlie Snyder) was working on the database several years ago but unfortunately passed away. At the time, his bid (which was significantly less than any of the others we received) was $15,000. We have secured a bid (from Webenology) on the recommendation of our hardware supplier (Computer St. Louis) for $10,000 to do the same work that Charlie had bid on before.  He has already visited our office and believes he can accomplish the work in 3 months. I have personally spoken to Computer St. Louis and they fully back and endorse Webenology and their work product. He is their number 1 goto guy when it comes to anything database related. We feel that the $10,000 is a very good and competitive figure. We’re asking for $15,000 should we need to spend more in the fiscal year following the initial scope of work including maintenance and hosting fees. Webenology’s proposal is attached.
